Overview
The Group Marketing Coordinator is responsible for supporting the Group Marketing Director (GMD) in maintaining good relations with the MICE industry external contacts and networks; supports the daily Group Marketing office administrative management; coordinating assigned marketing and related projects; and assisting with department budgetary and MICE, sports and weddings strategic alliances fulfillment and reporting.
Core Responsibilities:
- Support the Group Marketing Director in daily Group Marketing office management
- Coordinate assigned marketing projects using the organization's project management tool, Monday, ensuring projects are well organized, delivered on time, and within approved budget
- Manage budgetary department needs, including invoice uploading, tracking, and coding.
- Develop and manage KPIs related to strategic partnerships and ensure reporting compliance.
- Provide insights and advice to GMD to ensure a keen understanding of opportunities, challenges, and external situations that may directly or indirectly impact or influence the DMO specifically related to Sales and MICE Marketing.
- Organize and attend assigned meetings, ensuring the team is prepared and developing presentations and decks.
- Coordinate various integrated communication and group marketing activities in collaboration with other departments.
- Monitor MICE marketing collateral's development, production, delivery, and maintenance.
- Support trafficking of group marketing-related media, including print, digital, and social.
- Fulfill key industry strategic partnerships, including but not limited to ConventionPlanIt.com, Cvent, Playeasy, Threshold 360, and other media buys.
- Communicate with all departments and populate Group Marketing updates on the industry portal.
- Support with the deployment of Eventsforce related to registering partners and stakeholders to future events and programs and track registrations.
- Evaluate results of assigned marketing projects and provide results updates and general reporting to GMD.
- Assist and support with assigned MICE, Sports, and Wedding segment activations, events, tradeshows, and research projects.
- Coordinate, research, inventory, and purchase branded promotional products, items, gifts, uniforms, and other assigned branded products with GMD direction.
- Coordinate official procurement processes related to promotional items, tradeshow booths, and other items that require bids according to internal policies and processes.
- Organize and inventory digital and physical assets to fulfill marketing and promotional item requests from the Sales, Destination Experience teams, and other departments or outside parties as received.
- Develop presentations to support the Sales team and the GMD committee reporting as needed, including the SRAC and MSAC committees.
- In collaboration with the GMD and Social Media team, manage social media content strategy and help develop content related to the MICE audience.
- When needed, will assist with coordinating industry events, including focus groups, industry partner meetings, Discover Puerto Rico hosted events, media FAMs for the MICE segment, and testimonial recordings with meeting planners.
- Other related duties as assigned by the GMD.
Key Credentials:
- BS/BA in business administration or relevant field;
- 3+ years of marketing and project management experience handling multiple projects of different scopes and complexities.
- Strong writing and presenting skills;
- Strong interpersonal and leadership skills;
- High level of attention to detail;
- Outstanding analytical and problem-solving abilities;
- Discretion and an understanding of confidentiality issues;
- Flexibility and adaptability to juggle a range of different tasks;
- Exceptional organizational and time management skills;
- Knowledge of office management systems and procedures;
- Basic graphic design skills a plus;
- Technologically Efficient, MS Office Proficient and PowerPoint.
- Fully Bilingual with strong oral and written communication and presentation skills (English/Spanish);
- Knowledge of the Puerto Rico tourism landscape, market, cultural, and language nuances.
- Good collaboration skills, able to thrive both individually and as a team member
- Comfortable with situations characterized by complexity, ambiguity, and high levels of uncertainty.
- Flexible and willing to work occasional weekends or nights as needed by the organization.
